GROUP APPOINTMENTS

This guide outlines detailed procedures for managing and scheduling group appointments within your practice. The recent enhancements to our system are designed to streamline administrative processes, thereby improving the efficiency of patient care management and reducing the burden of routine tasks. Follow these instructions to effectively create patient groups, manage groups, and schedule group appointments, ensuring that your team can focus more on patient care and less on paperwork.

 

Creating Patient Groups

1. Navigate to Patients > Patient Groups

2. Select +Create New Group 

3. Enter a descriptive group name and an optional group description (e.g., “IOP Therapy” or “Monthly Diabetes Workshop”).

4. Click Submit to confirm the details and create the group.

 

Adding Patients to Groups

1. To add patients to the group, locate and select the group you wish to edit 

2. Select +Add Patients

3. In the pop-up window, enter the patient’s name or date of birth and click Search.

4. From the search results, select the ADD button next to the patient’s name. To add more patients continuously, click ADD & SEARCH ADDITIONAL PATIENTS.

 

Archiving or Deleting Patients from Groups

1. Choose the patient you wish to remove from the group’s details page.

2. To save a patient for possible re-addition to the group, click Archive. To permanently remove them from the group, click Delete.

Note:  If a patient is removed from a group, any scheduled group appointments must be manually canceled via the patient’s Appointment Search page.

 

Scheduling Group Appointments

1. Go to the Appointment View page in the Scheduler module.

2. Open the New Appointment screen.

3. Enter the name of the group in the Patient/Patient Group search box

4. Set the appointment type to Group Appointment.

5. Finalize the scheduling details and book the appointment.

Today’s Appointment List and Appointment View

1. Group appointments are displayed on Today’s Appointment List and on the Appointment View page.

2. Hover over a group name to display a list of all patients in that group.

3. To move patients through the 4-step workflow, select the individual patient name and proceed as usual

 

Canceling Group Appointments for Removed Patients

1. Navigate to the patient’s Appointment Search page.

2. Select the appointment time and date to open the Appointment Details page.

3. Select Cancel.
