What is the AI Scribe with Heidi Feature?

Answer: Designed to simplify the way you document patient interactions, The AI Scribe with Heidi is an intelligent assistant within your EHR that takes note of patient-provider interactions, transcribes the conversations, and generates structured, accurate clinical notes.


 

How do I enable the AI Scribe feature for my practice?

Answer:

After signing a contract between Heidi Health and your practice, contact your WRS Health Account Manager to schedule an integration of AI Scribe into your EHR. 

As soon as the AI Scribe is set up, ensure that you have complied to the hardware and system requirements and that the necessary note formats are also set upr

 


 

What are the hardware and system requirements?

Answer:

AI Scribe has both hardware and system requirements. 

Hardware Requirements

Before you can use the AI Scribe feature, ensure that you have the following hardware setup: 

  1. Microphone
  • External Microphone (headphones, USB microphones, XLR microphones) or
  • Internal Microphone (laptops, tablets, chromebook) 
  1. Headphones (optional)- for monitoring audio quality during recordings. 

System Requirements

The AI Scribe feature requires the AI HPI note formats. To set up the AI HPI note formats to your EHR system, contact your Account Manager.

 


 

How do I start the AI Scribe recording during a patient visit?

Answer: To use AI Scribe, Create or Start a Note and select the note format with AI HPI.

1. In the AI HPI page, click the Open Widget button to launch the Heidi widget.

2. Click “Start Visit” to start recording when ready. The button will transform into a timer indicating that the recording is active.


 

Can I pause an AI Scribe recording?

Answer: To pause or stop the recording, click on the timer. If you wish to continue, click  Resume to continue recording.

How to save the recording and the note?

Answer:

1. If the session is done, Stop the recording and choose the template from the predefined templates list to generate the note.

2. After generating the note, you can edit them directly within the widget if any inaccuracies are detected.

3. Click Push Note to insert the generated summary into the AI HPI page of the EMR note automatically.

4. Click Save.

Can I edit the recorded notes by AI Scribe?

Answer: After generating the note, you can edit them directly within the widget if any inaccuracies are detected.

Answer: You can view the summary into the AI HPI page of the EMR note.

Does the feature work for all note types?

Answer: No. This is why it is necessary to set up the correct note formats before using the feature. Check What are the hardware and system requirements?.


 

Can multiple providers use this feature simultaneously?

Answer: Yes. As long as the feature is enabled for the provider/user, they can use it anytime.


 

How does this feature improve clinical workflows?

Answer: As your intelligent assistant, the AI Scribe takes note of patient-provider interactions, transcribes the conversations, and generates structured, accurate clinical notes so you can focus more on your patient rather than note-taking.

 


 

Who should I contact if the feature is not working as expected?

Answer: If you experience issues with the feature:

  • Verify that it is enabled for your user account.
  • Ensure that you have complied with both the hardware and system requirements.
  • Contact your Account Manager for further assistance.

 

Can Heidi AI Scribe generate CPT and ICD codes and insert them into the note?

Answer: Currently, the AI Scribe does not generate CPT or ICD codes because medical coding involves more than just note content—it requires clinical judgment, payer guidelines, and potential modifiers that AI alone cannot reliably determine. By keeping coding separate, providers retain full control over billing accuracy and compliance. However, we understand the need for efficiency and continue exploring ways to enhance the coding process.


 

Why doesn’t the AI Scribe automatically populate medications, orders, and assessments?

Answer: While the AI Scribe assists in documentation, clinical decision-making still requires provider oversight. Keeping these sections separate allows you to review, adjust, and ensure that the appropriate details are placed in the correct sections of the patient’s chart. This approach helps maintain accuracy, prevents unintended errors, and ensures compliance with clinical and regulatory standards.


 

Will there be future updates that allow AI Scribe to auto-populate sections or assist with coding?

Answer: We are always looking for ways to enhance the AI Scribe experience based on provider feedback. While AI-generated documentation is already improving efficiency, any future updates regarding auto-population or coding support would be designed with accuracy, compliance, and provider control as top priorities.


 

Why is my note not generated?

Answer: This usually happens for several reasons:

  1. When your voice volume during the session recording is too weak for the system to recognise.
  2. When your internet connection is unstable.
  3. When there are too many people using the server simultaneously.

 

Why is it taking ages to generate notes?

Answer: Note generation might be delayed due to a network issue – Heidi is a powerful app, and requires stable bandwidth to perform.


 

What does “No transcripts were detected” error mean?

Answer: You may have accidentally connected to another headset for the consult, which unfortunately means nothing was recorded, or your voice volume is too low.
