We’re excited to introduce an enhancement to our appointment system with the addition of a Telehealth flag that allows practices to seamlessly incorporate telehealth capabilities into any appointment type, ensuring flexibility and ease of use.

Key Features

Telehealth Flag

A new “Telehealth” flag has been added, allowing practices to designate any appointment type as a telehealth appointment. This enhancement provides users with the flexibility to apply telehealth functionality to both existing and new appointment types.

The existing “Telehealth” system appointment type will be retained and you can continue to use this specific appointment type without any changes. Please note, while this flag can be enabled for system default appointment types, such as operation, New Patient Visit, and Established Patient appointments, we recommend not activating it for these appointment types to maintain clarity and efficiency in scheduling.

Consistent Telehealth Functionality

The “Telehealth” flag ensures consistent functionality across all appointment types. A Google Meet ID will be generated and included in reminder emails/SMS for all appointments flagged as “Telehealth.”

Whether it’s an existing or a newly created appointment type with the Telehealth flag, you and your patients can expect a uniform and seamless telehealth experience.

Creating a New Telehealth Appointment Type

Follow these steps to create a new Telehealth appointment type:

  1. Go to Administration > Scheduler Setup > Practice Appointment Types.
  2. Click +Add New button to create a new appointment type
  3. Fill in the necessary details for the new appointment type (e.g., name, description, abbreviation, appointment length, etc.). It is recommended to include the word “Telehealth” in the name of the appointment type (e.g., “Telehealth Consultation – 30 minutes”), as well as in the abbreviation of the appointment type (e.g., “NPT” for New Patient – Telehealth)
  4. To ensure the appointment type has the telehealth functionality, select the “telehealth” checkbox
  5. Select “save.”

Configuring Existing Appointment Types with Telehealth Flag

Follow these steps to add the Telehealth flag to an existing appointment type:

  1. Go to Administration > Scheduler Setup > Practice Appointment Types.
  2. Select the appointment type you would like to enable Telehealth for
  3. Select the “Telehealth” check box
  4. Upon clicking the checkbox, an alert will appear that states:

If you wish to proceed, click “ok.” Otherwise, choose ‘Cancel’ and refer to the steps above on creating a new appointment type with this functionality.
  5. Select save. The screen will now refresh and all future appointments scheduled under that appointment type will be telehealth-enabled.

For clarity and better user experience, we recommend including the word “Telehealth” in the name of the appointment type (e.g., “Telehealth Consultation – 30 minutes”), as well as in the abbreviation of the appointment type (e.g., “NPT”)

Note: In order to use this functionality, your practice must be enrolled in WRS’ Telehealth service. If you would like to enroll in this service or learn more, please contact your Account Manager.
