Using CCDA Insights: A Quick Reference for Providers
CCDA Insights is a powerful tool designed to help clinical users make sense of external clinical documents—fast. Retrieved through the Record Locator Exchange (RLE) Network, these CCDAs are organized in an intuitive interface where users can filter by date, provider, document type, organization or key words.
This AI Tool allows providers to efficiently review a patient’s external records—all in one place with AI-generated summaries—before the encounter, saving both the providers and patient’s valuable time.
Step 1: Access the Patient’s External Records
- From the Appointments list:
Hover over the patient’s name and click “EMR All Notes.” - In the EMR All Notes page:
Click the “External Records” button to launch CCDA Insights in a new tab.
Note: The “External Documents” button is only visible to clients who are enabled for Record Locator Exchange (RLE) connections.
The CCDA Insights page has 2 main sections:
- CCDA Document Section: Allows providers to search, filter, and review patient documents, with access to system-initiated summaries for quick reference.
- CCDA AI Prompt Panel Section: Enables providers to ask questions related to patient documents or explore AI-suggested tags and insights.

Step 2: Filter the Documents You Need
- Use the filters at the top of the page to instantly refine the document list:
- Date Range: Last 6, 12, or 18 months — or pick custom dates
- Document Type: Varies based on what is available. (e.g. Encounter Summary, Referral Summary, Clinical Summary…)
- Provider: If you’re looking for records from a specific clinician
- Organization: If you’re looking for records from a specific facility
- Use Keyword Search for custom queries (e.g., “chest x-ray” or “HbA1c Level”)
- Click Search to display relevant documents or
- Click Reset to clear all the search filters.

Step 3: Select the Documents for Review
- Use the checkboxes to select the records you want to review or summarize.
- You can select multiple documents at once.

Step 4: Review or Summarize with AI
- Click the “View” link next to the document, for individual document review.
- Click “View [X] Selected” at the top, to open the full documents of all or selected in a separate page.
- Click “Summarize [X] Selected” to use the AI and choose from these ready-made options:
- Summarize the content
- Summarize all laboratory, imaging and other results
- Summarize the laboratory results of patient
- Summarise the pathology reports
- Summarise medication details of patient
- Summarise the diagnoses and medical conditions
- Summarise the procedures performed
- Pick the option that fits what you’re looking for.

Step 5: View Patient Data Summary (Optional)
The Patient Data Summary Panel provides a categorized overview of clinical information extracted from the patient’s CCDA documents. This step is optional but highly useful for quickly reviewing structured data before or during your AI-assisted search.

Example: Click the “Allergies” to view the patient’s Summary of Care for Allergies
Tip: Use the “<” and “>” buttons to expand or hide the summary view.

Step 6: Ask the AI Agent (Optional)
Scroll down to the AI for CCDA Agent section to ask a question:
- Example: “What are the most recent labs?” or “Has the patient had a colonoscopy?”
- Type your question or click a suggested tag, then hit ASK.
The AI will respond using the selected documents only.

Step 7: Copy What You Need
- You can copy summaries or responses into your clinical note or patient chart.
- Use insights to prepare for the encounter or guide your documentation.
Tip: Use the 👍 or 👎 buttons to give feedback on document relevance or summary quality.
Done! You’re now ready to see the patient with key clinical insights from external records already reviewed and summarized.
