We’re excited to introduce an update with Appointment Reminders Timing that is designed to reduce no-shows, gaps in appointment scheduling and improve patient communication. 

This new Automated Reminder Sequence introduces a smarter, more targeted reminder system that is based on a patient’s appointment confirmation status. By automating reminders only when necessary and avoiding redundant follow-ups, we strike the balance between effective communication and a respectful patient experience.

 

How It Works

Our Automated Reminder Sequence intelligently follows up with patients who have unconfirmed appointments—using SMS, email, patient portal and phone calls to increase the likelihood of attendance.

 

  1. Unconfirmed Appointment Detected
    The system automatically identifies appointments that have not yet been confirmed by the patient.
  2. Reminders Are Sent
    Based on the schedule, reminders are sent via SMS, email, and phone call at specific intervals leading up to the appointment.
  3. Confirmation Triggers Final Reminders
    If a patient confirms their appointment, the system schedules a courtesy reminder via sms and email 1 day prior as a final reminder.
  4. No Manual Work Needed
    Once activated, the system runs in the background—no user action required.
  5. Consistent Follow-Up
    Every patient receives consistent and timely reminders, improving attendance and reducing gaps in your schedule.

 

Automated Reminder Sequence

The system sends a sequence of appointment reminders to patients with unconfirmed appointments.

 

SMS and Email Reminder Schedule:

📅 7 days before the appointment – early reminder

📆 4 days before – midpoint check-in to confirm or reschedule appointment if needed

2 days before – final appointment reminder to ensure attendance 

✔️ 1 Day Before (if confirmed) – courtesy appointment reminder to reconfirm the appointment and ensure readiness.

 

Phone Call Reminder Schedule:

📅 6 days before the appointment – early call to notify of the patient’s appointment 

📆 3 days before – follow up to confirm or reschedule appointment if needed

2 days before – final call reminder to ensure attendance.

 

Important to Note

The Automated Appointment Reminder Sequence will replace any existing practice-specific appointment reminder settings. If you have configured custom reminder schedules, those settings will no longer be applied. The new sequence is designed to improve consistency, reduce administrative effort, and deliver better patient engagement.
