AI Scribe with Heidi
Designed to simplify the way you document patient interactions, The AI Scribe with Heidi is an intelligent assistant that takes note of patient-provider interactions, transcribes the conversations, and generates structured, accurate clinical notes.
This user guide walks you through on how to utilize the AI Scribe feature effectively so you can focus more on patient care and less on administrative tasks.
Setup and System Requirements
Enabling AI Scribe
Before using AI Scribe, ensure the feature is enabled in your EHR and configured with AI HPI note formats. Contact your Account Manager to complete this setup.
One-Time Sign-Up Process
To start using the Heidi AI Scribe in your EHR, you only need to sign up once in your EHR.
1. Create a new note in WRS.
2. Click the Open Widget button below AI Scribe.

3. Click “Continue in a new window.”

4. On the login screen, click Create one to start the account creation process.

5. Enter your information:
a. Type your First and Last Name in the respective fields.
b. Enter your Email Address.
c. Select your Specialty from the dropdown menu.
d. Select the United States as your country.

7 . Read the Terms of Use and Privacy Policy, and check the Accept policies box to confirm your agreement.
8. Click the Continue button to move forward with the account creation process.

9. To start using Heidi within WRS Health, click Use Heidi on your integration.
10. Set up the required hardware (see below) before using the feature.
Hardware Requirements
To ensure optimal performance, your setup must include:
• Microphone (required)

- External: USB microphones, XLR microphones, or headset microphones
- Internal: Built-in microphones on laptops, tablets, or Chromebooks
• Headphones (optional)

- Recommended for monitoring audio quality
System Requirements
AI HPI note formats must be configured in your EHR. Contact your Account Manager for assistance.
AI Scribe Workflow
The AI Scribe works with you during a patient visit to take note of your patient interactions, transcribes the conversations, and generates structured, accurate clinical notes.
Follow these steps to activate and use AI Scribe efficiently during a patient encounter.
Start the AI Scribe Feature During the Visit
1. Create or open a note and select the note format with an AI HPI page.
Note: For additional AI Scribe-compatible AI HPI note formats, contact your Account Manager.
2. In the AI HPI page, click the Open Widget button to launch the Heidi interface.

3. Confirm that your computer has a functioning microphone connected.
• If multiple microphones are available:
a . Click the microphone icon within the Heidi widget.
b. Select your preferred microphone from the list.
• Test Microphone Functionality:
a. Speak into the microphone to confirm it is working properly.
b. Adjust settings if necessary to ensure clear audio input.
4. Click “Start Visit” to start recording when ready.
- The button will transform into a timer indicating that the recording is active.
5. Pause or Resume
• To pause or stop the recording, click on the timer.
• If you wish to continue click on “resume” to resume recording.

Note:
Exiting the AI HPI page will automatically stop the recording, and you will lose all progress. Make sure to keep the page open until you have pushed the generated summary to avoid losing any recorded data.
6. If the session is done, Stop the recording and choose the template from the predefined templates list to generate the note.

7. After generating the note, you can edit them directly within the widget if any inaccuracies are detected.
8. Click Push Note to insert the generated summary into the AI HPI page of the EMR note automatically.

9. Click Save.
