Streamline Your Copay Collection with Bulk Processing

The copay bulk processing with Global Payments is a powerful feature designed to streamline your workflow and significantly reduce the time and effort required for copayment collection.
Instead of processing individual copayments one by one, Bulk Processing allows you to efficiently manage payments for multiple single-patient appointments simultaneously. This user guide will walk you through the step-by-step process of performing Bulk Copay transactions, maximizing its benefits for your practice.

 

Search for Copays

Go to Scheduler > Appointment Search.

1. In Appointment Search, select the desired criteria for your search. Ensure the following filters are applied:

a. Appointment Date: Choose the start and end dates to filter appointments.

b. Additional Info: Select the Billing checkbox.

c. Card on File

  • Select Any to include patients with or without a card on file
  • Select Yes to only include patients with card on file

 

d. Copay: Choose Copayment Due to search for patients with outstanding copays.

Selecting COPAYMENT DUE or PAID automatically changes the end date in the Appointment Date to the next 2 days from the start date.

 

Please note: The copay paid/due filter will only show accurate data for copayments applied to an appointment starting August 13, 2024. This means that copayments applied to an appointment prior may not reflect the correct copay status when using this filter.

 

 

2. Click the Search button.

3. From the results list, you can view review patient accounts with cards on file and those without, under the Copay column:

 

Process Bulk Copays

1. From the appointment search result, select the check box for the accounts you want to collect copays for, or select the checkbox at the header (Select All) to collect from all the patients listed.

 

 

2. Click the Collect Copay button to initiate the payment process.

3. While processing, a new page will open displaying the payment transaction details. 

 The type of copay is indicated based on the type of provider the patient is scheduled for an appointment. If appointment is scheduled to a primary provider, PCP Copay is displayed under Resource, if scheduled to a specialist then Specialist Copay is displayed.

Track Transaction Status

From the Copayment Details, you can check the status of each payment transaction.

To view detailed information for a specific patient, click the View Details link associated with their record.
